We are excited to introduce Checklist Approvals, a powerful new feature designed to enhance quality control and project accountability. With this update, approvals are embedded directly within checklists, ensuring that critical tasks meet the required standards before progressing.

Managing approvals efficiently is essential in construction and project execution. With this feature, assigned approvers can now review, approve, or reject checklist entries at key stages, keeping workflows structured and compliant. No more scattered approvals or disconnected processes—everything stays within VisiLean.

• Embedded Approval Fields – Assign approvers directly within checklists for structured sign-offs. Approvers can also provide their comments in the remark box!

• Real-Time Notifications – Stay updated with instant alerts when approvals are needed.

• Mobile Support – Approve checklists on-site or on the move.

• Role-Based Access Control – Ensure only assigned users can approve or modify fields.

• Audit-Ready Tracking – Maintain a clear approval history with timestamps and reviewer details.

• Export to PDF & Power BI – Generate reports including approval statuses for compliance and review.

How It Works

This feature strengthens accountability, reduces delays, and provides a clear approval trail for audits and compliance checks. Whether it’s a project manager signing off on an activity or a QA lead verifying quality, approvals are now streamlined and trackable.

Example Use Cases

• Quality Control Inspections – A project manager assigns a quality inspector to review and approve a checklist before work on-site continues. If any issue is found, the inspector rejects the checklist, prompting necessary corrections before approval.

• Safety Compliance Checks – Before workers begin a high-risk activity, a safety officer must approve a pre-task safety checklist. The approval ensures all safety measures are in place, reducing potential hazards on-site.

• Material Delivery Verification – A logistics coordinator needs to confirm the arrival and condition of construction materials. The approval process ensures that only verified materials are recorded, preventing discrepancies in inventory tracking.

Key Considerations & Caution Points

• A maximum of five users can be added to the approver and remark fields.

• If an approver unchecks the approval field and saves the checklist, two notifications will be sent.

• After sending a reminder, users must wait 30 seconds before sending another reminder.

• Activity approvers can access and take actions on checklists irrespective of the organisation.

• This functionality is not available in offline mode yet.
